"Our Top Tips & Notes for Planning your Day Hire wedding at Upthorpe Wood"

Hello and welcome to your quick view notes and top tips for planning your day hire wedding at Upthorpe Wood. We hope you find them helpful.

Let’s go…..

So, firstly. Your venue hire times are 12pm -11pm but if you choose, there is an optional Late License add on. Please get in touch and we will send further details and price. This enables your wedding day to finish at 12.30am. Music will finish at 11pm still but this allows you to have a longer wind down and clear up time, with the bar shutting at 11.30pm. Your guests can continue to chatter around the firepit for longer.

Allow a couple of hours from 12pm to decor and decorate your tables, pop flowers around etc. We advise a timeline similar to this:

12pm Arrival of a few friends/family members to decorate tables, put out confetti and maybe a few flowers. Your tables will be ready for you, under the Cartlodge. We will have set them up in your preferred layout but decoration will be left to you. If you require us to decorate or clear down for you, just let us know and we can provide a quote.

2.45pm Guests arrive

3.15pm Ceremony

3.40pm Confetti & Drinks Reception

4.45pm Speeches

5pm Feasting in Cartlodge

6.30 Cocktail Hour

7pm First Dance/Disco

8pm Cake

10.15pm/Clear Down/Music stops

If Late License:

11pm Music finishes

11.30 Bar closes

12pm Carriage/Clear Down

Remember to let all your suppliers know of your venue hire hours, as they won’t have access to the venue outside of these times or to collect goods the following day. We cannot always guarantee that we will be around outside these hours, so if for any reason suppliers need to set up earlier or collect later, there is an hourly charge applied.

If your guests wish to leave cars overnight, we recommend they park outside the venue… 100m along the road at the nearby industrial estate. This gives them access to retrieve their cars in the morning, as once your hire hours are finished, the venue is locked down and we might not return for a few days.

The secret to keeping Day Hire planning as easy as possible for yourselves, all comes down to minimal decoration! The more decoration… the longer your setting up and clearing down will take. Select a well chosen few to help with the decoration, giving them clear concise directions.

Remember to remind your caterers to take away their rubbish as this will leave you with less to take at the end of the night.
